A Professional Portrait—Not a Photo Booth
A conference headshot session should feel efficient without becoming impersonal.
Each attendee is photographed individually and receives clear direction with posture, positioning and expression. The goal is to create a consistent collection of professional portraits while allowing each person to retain their individuality.
The setup, schedule and delivery process are planned in advance with the event team. This helps the photography fit naturally into the day without interfering with sessions, presentations or attendee movement.

How the Process Works
Planning
Headshots Matter and Jason begin by learning about the event, venue, schedule, expected participation and intended use of the photographs.
Setup
A professional headshot area is arranged within the available venue space. Placement is planned with lighting, privacy, electrical access and attendee movement in mind.
Scheduling
Depending on the event, headshots may be offered through scheduled appointments, open attendance or a combination of both. The session can operate during registration, networking periods, meal breaks or selected hours throughout the day.
Photography
Jason works efficiently with each attendee while providing individual direction. His calm and experienced approach is particularly well suited to people who do not spend much time in front of a professional camera.
Image Delivery
The selection, finishing and delivery process will be agreed upon before the event. Images may be delivered directly to attendees or through the participating company or association, depending on the project.
Conference Headshots at Boston Venues
On-site headshot sessions can be planned for convention facilities, hotels, universities, company offices and other event spaces throughout Boston and Cambridge.
This may include events held at the Thomas M. Menino Convention and Exhibition Center, formerly known as the Boston Convention & Exhibition Center, the Hynes Convention Center, and hotels or meeting venues in the Seaport District, Back Bay and Downtown Boston.
If your venue is already booked, we can review the available space and recommend a practical location for the headshot area. All arrangements will be coordinated with your venue and event team.
Corporate Retreats and Leadership Meetings
A company retreat, board meeting or national leadership gathering can be an ideal time to update professional headshots. Everyone is already together, reducing the need to coordinate separate appointments across several offices or cities.
For smaller groups, more time may be available with each person. The assignment can also include leadership portraits, group photographs or environmental portraits connected to the meeting location.
A Useful Opportunity for Event Sponsors
Professional headshots can be included within an event sponsorship package.
A sponsoring company may support an attendee service that is useful during the conference and remains useful afterwards. Sponsor recognition can be included in event communications or signage while keeping the photography professional and centred on the attendee.

Can you set up headshots at our Boston conference venue?
Yes. The headshot area can be planned for a convention venue, hotel, university, company office or other meeting space. We will review the location with your event team and adapt the setup to the available space.
Is this the same as a photo booth?
No. Each attendee is photographed individually by an experienced corporate and editorial photographer. Jason provides direction and creates a professional portrait intended for LinkedIn, company websites, speaking profiles and business communications.
How much space is required?
The exact space will depend on the background, lighting and expected number of participants. A dedicated area with electrical access and enough room for people to enter and leave comfortably is preferred. Jason will confirm the practical requirements before the event.
How long does each headshot take?z
Timing depends on the event schedule and the number of people being photographed. Jason’s experience working with busy professionals allows him to work efficiently without making the session feel rushed. An appropriate schedule will be recommended during planning.
How many attendees can be photographed?
Capacity depends on the available hours, location, appointment system and final image requirements. Once we understand the event, we can recommend a realistic plan for the anticipated attendance.
Can you photograph our leadership team during the conference?
Yes. Leadership, board and employee headshots can be scheduled alongside the attendee program or arranged as a separate session during the event.
How will attendees receive their photographs?
The delivery process is agreed upon before the conference. Photographs may be delivered directly to attendees or provided through the company, association or event team.
Can Jason provide other photography during our event?
Additional corporate, editorial, leadership or workplace photography can be discussed. Broader event coverage is not automatically included in the headshot service and should be planned in advance.
